These draft data definition tables describe the information we expect to be recorded by the future waste tracking service when a receiving site accepts or rejects waste.

They are a draft and may be updated to reflect changes to policy, legislation and feedback received from those in the waste industry.

About the waste

Data field Mandatory or optional Description
EWC code (could be multiple EWC codes for one load) Mandatory An EWC code is a 6 digit code listed in the European Waste Catalogue (EWC). The EWC is a list of waste types which categorises waste based on a combination of what they are, and the process or activity that produces them.
Waste description (proper description of actual waste not EWC description) Mandatory A detailed description of a specific waste material, including its physical characteristics, composition, and any potential hazards associated with it. It's essentially a classification of the waste that helps determine how it should be managed and disposed of safely.
Waste form Mandatory This is the form of the waste. This could be a gas, liquid, solid, powder, sludge or mixed etc.
Number of containers Mandatory Number of containers for storing, transporting and disposing of waste materials
Type of containers Mandatory Containers are receptacles used for storing, transporting, and disposing of waste materials. They come in various sizes and types, ranging from small desk-side bins to large industrial skips.
Waste measurement Mandatory Unit of measurements of waste being accepted
Waste measurement quantity Mandatory Total weight of the waste being accepted
Is the waste quantity estimate or actual? Mandatory Specifies whether the quantity of waste is estimated or actual.
POPs data:
Does the waste contain persistent organic pollutants (POPs)? Y/N (could be multiple POPs for each EWC code) Mandatory Persistent organic pollutants (POPs) are chemical substances that do not break down in the environment. They are a danger to human health and the environment. POPs can be present in hazardous and non-hazardous waste.
POP name Mandatory E.g. Aldrin, Chlordane, Dieldrin etc.
POP concentration value Mandatory E.g. 50mg per kg of Chlordane.
Hazardous waste data:
Hazardous property codes (Haz code) Mandatory Hazard property (HP) codes are used to classify hazardous waste. E.g. HP 1 - Explosive Waste, HP 2 - Oxidising Waste, HP 3 - Flammable Waste etc. Waste classification technical guidance - GOV.UK
Chemical or biological component Mandatory E.g. Mercury.
Component concentration value Mandatory E.g. 30mg per kg.

Carrier registration number Mandatory A waste carrier registration number is a legal requirement for businesses that transport, buy, sell, or dispose of waste. This license ensures that waste is handled and transported in a responsible and environmentally friendly manner.
If Carrier registration number not applicable, give reason(s) Mandatory Provide reasons for not having the carrier registration number
Carrier organisation name Mandatory The business name of the carrier.
Carrier address Optional The business location address of the carrier.
Carrier contact email address Optional The email address of the carrier.
Carrier contact phone number Optional The waste carrier business contact number.
Vehicle registration number Mandatory The vehicle registration number of the carrier.
Means of transport (road, rail, air, sea, inland waterway, pipe, others) Mandatory This describes how the waste is transported.
Other means of transport Optional State any other means of transport

Broker or dealer details

Data field Mandatory or optional Description
Broker or dealer organisation name Optional The broker or dealer organisation name who arranged this transfer.
Broker or dealer address Optional The business location address of the broker or dealer.
Broker or dealer registration number Optional The Registration number of the broker or dealer.

Receiver's details

Data field Mandatory or optional Description
Receiver’s type of site waste authorisation Mandatory Waste sites have permits or licenses for certain types of waste. E.g. it could be a landfill site.
Receiver’s authorisation number Mandatory This is the site's authorisation (permit or exemption) number that allows it to accept waste for intended recovery and disposal operation.
Regulatory position statement Mandatory A regulatory position statement (RPS) is issued when the Environment Agency don’t require you to have a permit to carry out certain activities that they regulate. The statement will state which activities you do not require a permit for.

Receipt declaration

Data field Mandatory or optional Description
Date / time waste was received Mandatory This is the date and exact time waste was received at the site.
Disposal / recovery code, for each EWC (choose one or more R/D codes per EWC and weight/quantity for each code) Mandatory Waste disposal and recovery codes are for categorising waste and determining the most appropriate treatment and recovery options.
